Cash and margin
Margin you learn after the month closes: what it costs and how to fix it
Owners and finance still rebuild the week from exports. The plant has already shipped the order that lost the money.
A normal week
On Monday the owner asks what the company made. The answer is not in the plant. It is in three exports: what production says it consumed, what the warehouse says it shipped, and what QuickBooks says it invoiced. Someone spends the day making those three agree. By Wednesday there is a spreadsheet. The orders that caused the gap left last week.
This shows up as a quote that looked fine and a job that did not. Ingredient or steel prices moved. Yield or scrap was worse than the estimate. A change in the field was built and never priced. Freight or a substitution landed on the shipment. None of that is visible on the day the price could still change.
The same delay shows up when an owner asks which jobs need attention, where actual cost passed the estimate, or what inventory is free for the next release. The answers exist. They are not on one record. They are assembled after the decision they were needed for.
You can explain last month. You cannot change the quote, the buy, or the job that already shipped. The report is accurate and late. Companies that feel this are not missing a prettier chart. They are making cash and margin decisions on a week the operation has already finished.
What it costs
The order that lost the money has shipped. A credit, a short pay, or a silent margin hit is already in the bank movement. The dashboard that explains it does not put the margin back.
Cash sits in inventory that looked available and was not: the wrong lot, the wrong job, a remnant already promised, or stock past the date a customer will take. The books can still show a profit while payroll week says otherwise.
Someone’s salary is the reconciliation. A day spent making three exports agree is a day not spent on the quote that is still open. The cost is easy to ignore because it looks like normal office work.
Decisions get slower. Owners wait for the close before they stop a job, change a price, or buy. By the close, those choices are gone.
What to change
Put actual cost on the open batch or job. The owner should be able to ask what it really cost without waiting for the month to be assembled.
Keep the estimate attached so later cost has something to miss. A job with no estimate on it cannot tell you it is over.
Leave the accounting close in QuickBooks. The manufacturing record is the history of the batch or job. The books are still closed by the accountant.
Stop rebuilding the week from exports. If production, the warehouse, and the invoice describe different quantities, the record was split before the question was asked.
How MFGMAX handles it
MFGMAX puts the batch or job, the materials, the labor, and the actual cost on one record while the work is open. Management reports and the copilot read that record.
Questions such as which jobs need attention, where actual cost passed the estimate, and what inventory is available are answerable from the record, not from a Friday export.
Accounting can stay in QuickBooks. What posts to the books, and when, is shown before you commit. Your accountant still closes the books. This is the history of what changed, not an audit opinion.
The owner question on Monday is not a request for a new chart. It is a request for the batch or job that already shipped to have carried its cost while it was open. Three exports agree too late to change the quote, the buy, or the crew. MFGMAX keeps that cost on the record the plant is running, and the copilot reads that record. If the hours, the material, or the price were never written down, no report can honestly invent them. The close still belongs to the accountant.
Cash that does not match the profit is often inventory that looked free and was not, or a job whose hours landed in payroll after the price was set. The useful change is to keep the estimate on the job and the actual cost beside it while the work is open. Then the Monday question has a record instead of a reconciliation project. A report can be accurate and still be too late to change the order that lost the money. QuickBooks can still be where the month is closed. MFGMAX is where the week is still changeable.
