Lot trace
A lot you cannot trace: what it costs and how to fix it
A customer or an inspector asks which finished lots used one raw lot. The answer is still in binders, scans, and email.
A normal week
The call comes on a Tuesday. A customer, a retailer, or an inspector wants the batch that shipped: which raw lot went into which finished lots, and where those finished lots went. The plant agrees that this should take minutes. It takes the rest of the day.
Receiving has the lot on a packing list. The batch ticket names a formula, sometimes the lot, sometimes a nickname from the floor. Shipping has bills of lading that do not mention the bulk lot. Quality has a scan of a check that was signed after the run. Someone builds a spreadsheet that might be right.
The same week, the other direction fails too. A finished lot comes back as a complaint. The plant cannot say, quickly, which component lots were in it. People who were on that shift are the system of record. If they are off, the answer waits.
Nutra, pharma, food, and cosmetics feel this as a batch record. Metal shops feel it as a heat and a certificate that never got tied to the piece that shipped. Distributors feel it as stock that looked available and was the wrong lot, in the wrong warehouse, or past the date a customer will accept. The question is the same: can you name the lot both ways while the facts are still in one place?
What it costs
The search itself is the first cost. Two people, half a day, for one lot. The next call starts the search again because the spreadsheet was never the system.
A hold that should have stopped a shipment does not, because quarantine and released stock were one quantity on the screen. The recall or the credit is larger than the lot that should have been blocked.
Customers who needed a fast answer remember the delay. Audits that needed the batch record find notebooks. Neither of those costs shows up as a clean line on the quote that won the order.
Lots that cannot be traced also cannot be costed cleanly. If you do not know what was used, the yield and the actual cost are estimates. The next quote inherits the estimate.
What to change
Record the lots on the batch or job while it is open. Genealogy built after the shipment is a research project.
Trace both ways: raw lot to finished lots, and finished lot back to what was used and where it shipped.
Keep quarantine, hold, and released as different quantities so ineligible material is visible before it is issued.
Keep allergen, heat, certificate, or component identity on the lot that was actually used, not in a side file.
How MFGMAX handles it
MFGMAX keeps lot identity on the same record as the batch, the job, or the order. A raw lot traces to the finished lots. A finished lot traces back to what was used.
For food plants, ingredient lots, expiration, allergens, and shipments stay with the run. For metals, grade, heat, lot, and the mill certificate stay with the metal that was received. For distributors, on-hand is not confused with stock that cannot ship.
This does not replace your quality system, your food-safety program, a validation, or an FDA approval. It does not replace a required material test. It is the lot record those duties ask for.
The Tuesday call is expensive because the lot was never the system of record. Receiving, the batch ticket, shipping, and quality each kept a piece. A spreadsheet built that afternoon might be right, and it will be built again next time. Tracing both ways while the batch or job is open means the raw lot, the finished lot, and the shipment are already on one record. A hold is a different quantity from released stock, so the lot that should not ship is visible before it is issued. That is the difference between a search and an answer.
Metal shops hit the same hour when a heat and a certificate never got tied to the piece that shipped. Distributors hit it when stock looked available and was the wrong lot, the wrong warehouse, or past the date a customer will take. In each case the cost is the search, the shipment that should have waited, and the next quote built on a lot nobody can name. MFGMAX keeps that identity on the batch, the job, or the order. It does not replace the quality system, the food-safety program, the material test, or an approval. It gives those duties a lot record that can be handed over.
